Understanding Ingredients availability
Ingredients availability shows the stock status for ingredients required for making ordered products. Ingredient requirements for products are based on the Product Recipe / BOM, which could include both materials and subassemblies.
Ingredients availability status can either show "In stock", "Expected" or "Not available". Based on the status, you can take necessary actions accordingly. See more details below.
Ingredients availability is automatically calculated in Katana based on the stock position and cannot be manually changed by the user.
Where is Ingredients availability displayed?
- For products on a Sales Order (in the "Sell" screen and on a Sales Order card). This is especially relevant for businesses that are Making to Order and gives the user immediate information about the availability of ingredients required for making the products ordered by customers.
- For products on a Manufacturing Order (in the "Schedule" view or on a Manufacturing Order card). This provides information to the production floor about the availability of ingredients required for making the products in the production schedule.
"Sell" and "Schedule" screens that list Sales and Manufacturing Orders display Ingredients availability at the order level. The status will show "Not available" or "Expected" when at least one ingredient for any product on the order has the respective status. "Expected" is only shown when none of the ingredients has a "Not available" status for the respective order. You can click on any order to see more detailed information.
Availability is calculated based on the priority of orders
The Ingredients availability status indicates whether ingredients are available for products on a specific Sales or Manufacturing Order. Ingredients availability status takes into account the priority of orders, which can be changed by drag-and-dropping the positions of orders in either the "Sell" screen or "Schedule" view.
This means that even when you have the required ingredients in stock, the Ingredients availability for a particular order might still show "Not available" if another higher priority order has already reserved the same ingredient. Changing the priority of orders could also affect the Ingredients availability statuses.
Firstly, Katana checks for a required ingredient whether there is enough "In stock". If not, it's checked whether there are any open Purchase Orders for materials or manufacturing orders for subassemblies (i.e. the ingredient is in an "Expected" status). If not, Ingredients availability shows "Not available".
In Katana, materials are not permanently linked to any orders. Ingredients availability is always calculated based on the priority of order.

Note: This approach is different from the link between Sales Orders and Make to Order Manufacturing Orders (read more about Types of Manufacturing Orders). Sales Items availability for Sales Orders only works in a similar way to Ingredients availability for Make to Stock Manufacturing Orders (i.e. booking the products is done based on priority). Availability status for specific ingredients
Click on a Manufacturing Order to see the list of ingredients based on the Product Recipe / BOM for the specific product. Ingredients availability is displayed for each ingredient.
However, Ingredients availability on a Sales Order card displays the ingredient status for the product on the order line. It does not display availability at the ingredient level directly on the SO card. If any ingredients required to make the product are "Not Available", you can click on the Ingredients availability status on a Sales Order card to open a list of missing ingredients.
The list displays all missing ingredients with required quantities.
Clicking on the i-icon next to the missing quantity will open more detailed information about the stock status of the ingredient. See more below about Detailed Inventory Intel.
You can create new Purchase Orders directly from the missing materials list by clicking on the "Buy" button at the end of the missing ingredient line.
Detailed Inventory Intel
Clicking on the i-icon in the missing materials list or on the Ingredients availability status for a specific ingredient on a Manufacturing Order opens an Inventory Intel pop-up, which shows additional info about the inventory level of the specific ingredient. You can conveniently check the "In Stock", "Expected" and "Committed" quantities of the ingredient and see all the order to which this material is committed. In the Inventory Intel pop-up, orders are listed by priority and the current order is highlighted in bold. The priority can be changed either in the "Sell" screen or "Schedule" view.
Ingredients availability statuses
There are not enough materials or subassemblies available in the inventory to make the required products. You are also not expecting those materials from your suppliers (i.e. you have not created Purchase Orders for the material in the required amount for this product) or subassemblies from manufacturing (i.e. you have not created Manufacturing Orders for the subassembly in the required amount for this product).
Recommended action - option 1: Create a new Purchase Order for a material or a new Make to Stock Manufacturing Order for a subassembly. Also, if you wish to keep enough ingredients in stock to satisfy requirements in the future, it might be worth adjusting your Reorder Point for this ingredient.
Recommended action - option 2: If you need to complete this order quickly, but the order has a low priority, you can try bringing it to a higher position to give it a higher priority for booking ingredients in stock or expected from suppliers (or subassemblies expected from manufacturing).
There are not enough ingredients available in the inventory for this order. However, you have open Purchase Orders for the material or open Manufacturing Orders for the subassembly in the required amount and, thus, the ingredient is expected to arrive in your warehouse.
The date below to the "Expected" status indicates the arrival date of a related Purchase Order for materials or the Production Deadline of a related Manufacturing Order for subassemblies.
Recommended action - option 1: No action required. Additionally, if you wish to keep enough ingredients in stock to satisfy the requirements in the future, it might be worth adjusting your Reorder Point for this ingredient.
Recommended action - option 2: If you need to fulfill the order quickly, but the order has a low priority, you can try bringing it to a higher position to give it a higher priority for booking ingredients in stock or expected from suppliers (or subassemblies expected from manufacturing).
You have enough materials and subassemblies available in the inventory for this order.
Recommended action: No action required. Proceed with the production the required products.
Ingredients availability in the "Sell" screen will display "Processed" when the Sales Items availability shows "In stock". In "Schedule" view, Ingredients availability will change to "Processed" when the Production status is changed to "Done". This means that the "In stock" and "Committed" quantities for those ingredients are decreased in the inventory.
"Not applicable" status for Ingredients Availability can appear on Sales Orders but not on Manufacturing Orders. The status displays "Not applicable" when:
- You have added more than one Location to your account and selected on the Sales Order a "Ship from" location on with no Make possibilities (i.e. it's a sales location, not a production site).
- You have disabled the "I make this product" option for the product on the product card. In this case, you have chosen to purchase the product from suppliers (not make in your own workshop) and the Ingredients Availability status is not relevant.
If you wish to understand exactly how Katana calculates the Ingredients availability for ingredients, here are the calculations:
- "Not available": "Quantity" required by the product on the order > ("In stock" + "Expected" - "Committed" in the inventory), where "Committed" only includes the quantity committed to higher priority orders.
- "Expected": ["Quantity" required by the product on the order < ("In stock" + "Expected" - "Committed" in the inventory)] AND ["Quantity" required by the product on the order > ("In stock" - "Committed" in the inventory)], where "Committed" only includes the quantity committed to higher priority orders.
- "In stock": "Quantity" required by the product on the order < ("In stock" - "Committed" in the inventory), where "Committed" only includes the quantity committed to higher priority orders.
