Understanding Product Availability
Product Availability shows whether the required product for a Sales Order is "In stock", "Expected" or "Not available". Based on the status, you can take necessary actions accordingly. Product Availability is an automatically calculated field in Katana and cannot be manually changed by the user.
Product Availability is displayed:
- On a Sales Order card: Product Availability is shown at the line item level (i.e. for each product on the Sales Order separately).
- In the "Sell" screen: Product Availability is shown at the Sales Order level. The status will show "Not available" or "Expected" when at least one product on the Sales Order has the respective status. "Expected" is only shown when none of the products in the Sales Order has a status "Not available" for the respective SO.
The date below to the "Expected" status indicates the production deadline of a related Manufacturing Order for the required product.
Make to Order versus Make to Stock
Products in Katana can be produced either by Make to Order (MTO) Manufacturing Orders or Make to Stock (MTS) Manufacturing Orders (read how to create MOs). The Product Availability is calculated differently for either case.
If you have created Manufacturing Orders for all products required by the Sales Order, then the Product Availability status shows "Expected". In case products are expected from MTO Manufacturing Orders that are linked directly to the Sales Order, then the Product Availability status is not depending on the priority of Sales Orders.
However, if you have not created any MTO Manufacturing Orders for a Sales Order (i.e. you have not clicked "Make to order" button in the "Production" column for a Sales Order and it is still visible), then the Product Availability is calculated based on the priority of Sales Orders.
How does the priority of Sales Orders affect Product Availability?
The Product Availability status indicates whether the product is available for THIS particular Sales Order. For Sales Orders that do not have any linked Make to Order Manufacturing Orders in the "Make" screen, Product Availability status calculation takes into account the order of priority of Sales Orders. Priority can be changed by drag-and-drop in the "Sell" screen.
This means that even when you have some quantity of the required product "In Stock", the Product Availability for this particular SO might still show "Not available" if another higher priority SO has already reserved the same product. Changing the order of priority of Sales Orders could also change the Product Availability for Sales Orders.
Firstly, a Sales Order checks for each ordered product whether there are enough products "In stock" to fulfill this SO. If not, it checks whether there are any open Manufacturing Orders for the product (i.e. the product is "Expected" from manufacturing).
As mentioned above, it is important to note that Sales Orders for which you have created Make to Order Manufacturing Orders DO NOT participate in the priority calculations. These Sales Orders are expecting products from related Make to Order Manufacturing Orders that are linked directly to these Sales Orders and, thus, do not book any products you already have "In stock" or any products being produced by Make to Stock Manufacturing Orders.
Detailed Inventory Intel
Clicking on the Product Availability status opens an Inventory Intel pop-up, which shows additional info about the inventory level of the specific product. You can conveniently check the "In Stock", "Expected" and "Committed" quantities of the product and see all the Sales Orders by which this product is booked. In the Inventory Intel pop-up, SOs are ordered by priority and the current Sales Order is highlighted in bold. The priority can be changed in the "Sell" screen.
As products can also be subassemblies in Katana and used in manufacturing, then the same product could be required by a Sales Order and a Manufacturing Order at the same time. Both Sales Orders and Manufacturing Orders take part in the Product Availability calculation for this product and are displayed in the inventory intel pop-up. However, all Sales Orders by default have a higher priority for booking the product than Manufacturing Orders. This principle cannot be edited by the user in Katana.
Product Availability statuses
There are not enough products available in the inventory for this Sales Order. You are also not expecting the product from manufacturing, i.e. you have not created any Manufacturing Orders for the product in the required amount for this SO.
Recommended action - option 1: Create a new Manufacturing Order (MO). You can quickly create all required MOs by clicking on the "Make to order" button in the Production column in the "Sell" screen. This will add relevant MOs to the "Schedule" view in the "Make" section. Those MOs will then be linked directly to the underlying SO and will follow the priority of the SO.
If you are making to stock (read more) and wish to produce a larger quantity than is required by this specific Sales Order, create a Make to Stock Manufacturing Order via the global "+" sign at the top middle of the page.
Recommended action - option 2: If you are keeping some products in stock and need to fulfill this Sales Order quickly, but the SO has a low position in the Sales Order list, you can try bringing it to a higher position to give it a higher priority for booking products in stock or expected from Make to Stock Manufacturing Orders.

The date below to the "Expected" status indicates the Production Deadline of a related Manufacturing Order for the required product.
Products can be either expected from Make to Order or Make to Stock Manufacturing Orders.
Recommended action: No immediate action required. We suggest checking if any conflicts exist between the Sales Order Delivery Deadline and the expected production completion date for the Manufacturing Order. If there are conflicts, you might consider reprioritizing your "Schedule".
You have enough products available in the inventory to fulfill this Sales Order.
Recommended action: No action required. Proceed with delivering this Sales Order.
Product Availability will change to "Picked" when the Delivery status is changed to "Packed" or "Delivered". This means that the "In stock" and "Committed" quantities for those products are decreased in the inventory.
