How to connect Xero to Katana

It takes only a few easy steps to connect Xero to Katana.

Connect Xero to Katana in just a few steps to keep your accounting and operations in sync.


Step 1: Initiate the integration

  1. In Katana, go to Integrations Marketplace.

  2. Find Xero and click Connect.

  3. If you aren’t logged in to Xero, you’ll be redirected to the Xero login page. Enter your credentials.

  4. Click Allow access.

  5. You’ll be redirected back to Katana to begin the setup flow.


Step 2: Configure the integration (4-step setup)

1. Invoice and Bill status

Choose the default status for invoices and bills created in Xero from Katana:

  • Draft

  • Submitted for approval

  • Approved

Click Continue when ready.


2. Ledger accounts mapping

  • Use the checkboxes to decide whether to sync sales orders, purchase orders, or both.

  • Select the appropriate Xero accounts for recording:

    • Revenue accounts for sales transactions

    • Cost accounts for purchases

  • All line items on an invoice or bill will be recorded to the selected account.

Click Continue once accounts are selected.


3. Tax types mapping

  • Map all Katana tax rates to their matching Xero tax rates.

  • If needed, click on + Add row to create new tax rates in Katana.

This step ensures your taxes are reported correctly in Xero.

Click Done after completing all mappings.


4. Import customers and suppliers

  • Check/uncheck the boxes to determine if Xero customers and/or suppliers will be imported into Katana

  • Includes contact details and addresses.

Click Done to finish the setup.


Step 3: Integration is active

Once connected:

  • A new Invoice column appears in the Sell screen. Use it to create invoices in Xero directly from Katana sales orders.

  • A new Bill column appears in the Buy screen. Use it to create bills in Xero directly from Katana purchase orders.

Your accounting is now synchronized with your Katana workflows!
