Importing sales orders from Wix to Katana (via Make)

Setup the import of Sales orders from Wix to Katana via Make (ex Integromat)

This guide shows you how to set up a Make workflow to automatically import sales orders (SOs) from Wix into Katana.

How it works

  • All new Wix orders are imported into Katana.

  • Products, customers, and tax rates are matched to existing records in Katana. If they don’t exist, they are created automatically.

  • Orders are imported into a single Katana location that is selected during setup (you can customize the routing later).

Note: Setting up the workflow with the provided template takes less than 15 minutes. Most fields are prefilled—you only need to connect your accounts.


Set up the automation

This guide will walk you through each step of the pre-made template to better understand the connection and customize it to your needs.


Step 1: Open the Make template

  1. Open the Make template for Katana → Squarespace sales order import.

  2. Create a new scenario.


Step 2: Configure the trigger (Wix)

  1. Add a new connection to your Wix account.

    • You’ll need to create a Wix app for this connection (see Make’s guide for details).

    • Copy the webhook address generated by Make.

  2. In Wix Development Center:

    • Go to Webhooks → +Add Webhook.

    • Select Wix Stores from the API Category.

    • Choose New Order as the event.

    • Paste the webhook URL from Make.

  3. Return to Make, and open the left-most module, and click Create a webhook. Continue, and proceed.

  4. You'll then need to Create a connection with Wix.

  5. Add your App ID and App Secret.


Step 3: Get order details

  • Connect your Wix account.

  • Map Order ID from the Wix – Watch Orders module.


Step 4: Match or create customers

  1. Search for an existing customer in Katana by email (map from Buyer Info: Email).

  2. Take a look at the filter for if no match is found, and a new customer is created when necessary.

  3. Default configuration for how new customers are created in Katana:

    • Name = Buyer’s First Name + Last Name

    • Email = Buyer Info: Email

    • Phone = Buyer Info: Phone

    • Optional: Map other details to the Comment field.

  4. The Tools' Set variable uses the Customer ID.


Step 5: Match or create tax rates

  1. For each order line, calculate the applied tax rate (formula is prefilled in the template).

  2. Match against tax rates already imported from Wix.

  3. If no match is found:

    • A filter to only create a new tax rate when missing.

    • Create the new tax rate in Katana using the same formula.

  4. The Tax Rate ID assigned to a variable for later use.


Step 6: Match or create product variants

  1. Match products in Katana by SKU.

  2. If no match is found:

    • There's a filter to only create a new product when missing.

    • Create a product in Katana with a single variant using:

      • Name = Line item name from Wix

      • SKU = Line item SKU

      • Default Sales Price = Line item price

  3. Saved Variant ID to a variable for later use.


Step 7: Build sales order rows

  1. Combine all iterated line items back into SO rows for Katana.

  2. The following are mapped:

    • Quantity = Wix line item quantity

    • Variant ID = from matched or newly created product

    • Price per Unit = Wix line item price

    • Tax Rate ID = from matched or newly created tax rate


Step 8: Create the sales order in Katana

  1. The following fields are mapped:

    • Order Number = Wix Order Number (recommended: add prefix WIX- for easy identification).

    • Customer ID = from matched or newly created customer.

    • Sales Order Rows = from the Array Aggregator module.

    • Created Date = Wix order creation date.

    • Delivery Date = optional (leave blank to use Katana defaults).

    • Location = select the Katana location where orders should import.

    • Additional Info = optional notes.


Step 9: Test and schedule

  1. Run the scenario once with a sample Wix order.

  2. Check Katana to ensure the order, customer, and product data are imported correctly.

  3. Schedule the workflow to run immediately whenever new orders are created in Wix.
