This guide explains how to use Zapier to import sales orders and customers from eBay into Katana.
You can use a similar approach to import sales orders from other Zapier-supported apps. For more on Zapier, see our Zapier integration overview.
Prerequisites
Zapier account.
Katana account.
eBay business account
Setting up the zap
Tip: Save time by using a pre-made template for creating this Zap.
Step 1: Create a new Zap
Step 2: Set up the trigger (eBay)
Select eBay as the app.
Choose the trigger event: New Order.
This runs whenever a new order is created in eBay.
Connect your eBay account and log in.
Test the trigger to confirm.
Step 3: Add an action to find or create a customer (Katana)
Add a new action and select Katana.
Choose the event: Find Customer.
This matches eBay customers with existing Katana customers to avoid duplicates.
Connect your Katana account.
Configure the customer search:
Search By: Email address.
Search Term: From eBay, select Fulfillment Start Instructions → Shipping Step → Ship To Email.
(Optional) Enable Create Katana Customer if it doesn’t exist yet.
Map customer fields from eBay to Katana fields (e.g., name, email, address).
Test the action before continuing.
Step 4: Add an action to create a sales order (Katana)
Add another action and select Katana.
Choose the event: Create Sales Order.
Connect your Katana account.
Configure sales order fields:

Customer ID
From the previous step, select 2. Find or Create Customer in Katana → ID.
This is Katana’s internal customer ID (not visible in the UI).
Customer reference
Optional text/data field
Order number
Use eBay’s Order ID.
Recommended: prefix with EBAY- (e.g., EBAY-101, EBAY-102).
Location
Select the Katana location where orders should be imported.
Created date
Map to an eBay field that indicates order creation (e.g., Purchase Date).
Delivery date
Choose an eBay field or leave empty to let Katana calculate based on default settings.
Line items (map from eBay fields):
SKU → Line Items → SKU
Quantity → Line Items → Quantity
Price → Line Items → Line Item Cost Value
Tax rate
Choose a Katana Tax Rate ID.
Tax rates cannot be mapped from eBay. All orders will use the same chosen Katana tax rate.
Test the action to confirm data is mapped correctly.
Step 5: Turn on the Zap
Once tested, turn on your Zap by clicking Publish in the top right. New eBay orders with linked customers will now automatically import into Katana.
Important requirements & limitations
The Variant SKU for each item must already exist in Katana.
If a SKU is missing, that sales order line will not import.
Zapier cannot create new items in Katana.
Tax rates must be selected manually in Katana. They cannot be pulled from eBay.
Workflow summary
A new order was created on eBay.
Zapier finds or creates the customer in Katana.
Zapier creates a sales order in Katana with the mapped fields.
Inventory and fulfillment are managed in Katana.
Your eBay sales orders and customers now flow automatically into Katana.
