Importing sales orders and customers from Ecwid to Katana (via Zapier)

A guide for setting up the import of Sales orders from Ecwid to Katana via Zapier

This guide explains how to use Zapier to import sales orders and customers from Ecwid into Katana.

You can use a similar approach to import sales orders from other Zapier-supported apps. For more on Zapier, see our Zapier integration overview.


Setting up the zap

Tip: Save time by using the pre-made template.

Step 1: Create a new Zap

  1. Log in to your Zapier account.

  2. Click Create > Zap.

Step 2: Set up the trigger (Ecwid)

  1. Select Ecwid as the app.

  2. Choose the trigger event: New Order.

    • Runs whenever a new order is created in Ecwid.

  3. Connect your Ecwid account and log in.

  4. Customize when the import is triggered:

    • Example: set Payment status = Paid, leave Fulfillment status = Any.

    • This imports only paid orders, regardless of fulfillment status.

  5. Test the trigger to confirm.


Step 3: Add an action to find or create a customer (Katana)

  1. Add a new action and select Katana.

  2. Choose the event: Find Customer.

    • This matches Ecwid customers with existing Katana customers.

  3. Connect your Katana account.

  4. Configure the customer search:

    • Search By: Email address.

    • Search Term: Select Email from Ecwid.

  5. (Optional) Enable Create Katana Customer if it doesn’t exist yet.

    • Map customer fields from Ecwid (name, email, etc.) to Katana fields.

  6. Test the action before continuing.


Step 4: Add an action to create a sales order (Katana)

  1. Add another action and select Katana.

  2. Choose the event: Create Sales Order.

  3. Configure sales order fields:

  • Customer ID

    • From step 3, use Find or Create Customer → ID.

    • This is Katana’s internal ID (not visible in the UI).

  • Customer reference

    • Optional text/data field

  • Order number

    • Use Ecwid’s Order Number.

    • Recommended: prefix with ECWID- (e.g., ECWID-101, ECWID-102).

  • Location

    • Select the Katana location where Ecwid orders should be imported.

  • Created date

    • Map to Ecwid’s order creation field.

  • Delivery date

    • Ecwid does not provide a delivery date field.

    • Leave empty to let Katana calculate, or create your own rule (e.g., Created Date + X days).

  • Line items (map from Ecwid fields):

    • Variant Sku → Items → Sku

    • Quantity → Items → Quantity

    • Price Per Unit → Items → Price Without Tax

  • Tax rate Id

    • Choose a Katana Tax Rate ID from your account.

    • You cannot map tax rates from Ecwid; all orders will use the same selected Katana tax rate.

Test the action to confirm.


Step 5: Turn on the Zap

Once tested, turn on your Zap. New Ecwid orders will now automatically import into Katana.


Important requirements & limitations

  • SKUs: The Variant SKU must already exist in Katana. Missing SKUs will prevent line items from importing.

  • Products: Zapier cannot create new items in Katana.

  • Tax rates: Ecwid tax rates cannot be mapped. All imported orders use one selected Katana tax rate.

  • Delivery date: Not available from Ecwid. Must be calculated or left blank.


Workflow summary

  1. New order created in Ecwid.

  2. Zapier finds or creates the customer in Katana.

  3. Zapier creates a sales order in Katana with mapped fields.

  4. Inventory and fulfillment are managed in Katana.

Your Ecwid sales orders now flow seamlessly into Katana.
