Importing sales orders from Magento to Katana (via Zapier)

A guide for setting up the import of sales orders (SOs) from Magento to Katana via Zapier

This guide explains how to import sales orders (SOs) from Magento 2.X (or regular Magento) into Katana using Zapier.

The setup process is similar for both Magento versions. The main difference is how your Magento account connects to Zapier.

Setting up the Zap

Tip: Use the pre-made template to reduce manual work.

Step 1: Create a new Zap

  1. Log in to your Zapier account.

  2. Click Create > Zap.

Step 2: Set up the trigger (Magento)

  1. Select Magento as the app (choose the version you use).

  2. Choose the trigger event: New Order.

    • This runs whenever a new order is created in Magento.

  3. Connect your Magento account:

    • Magento 2: standard login in Zapier.

  4. Test the trigger to confirm it works.


Step 3: Add an action to find or create a customer (Katana)

  1. Add a new action and select Katana.

  2. Choose the event: Find Customer.

    • This matches Ecwid customers with existing Katana customers.

  3. Connect your Katana account.

  4. Configure the customer search:

    • Search By: Email address.

    • Search Term: Select Customer Email from Magento.

  5. (Optional) Enable Create Katana Customer if it doesn’t exist yet.

    • Map Magento fields (name, email, address) to Katana fields.

  6. Test the action before continuing.


Step 4: Add an action to create a sales order (Katana)

  1. Add another action and select Katana.

  2. Choose the event: Create Sales Order.

  3. Configure sales order fields:

  • Customer ID

    • From step 3, select Find or Create Customer → ID (Katana’s internal ID).

  • Customer reference

    • Optional text/data field

  • Order Number

    • Use Magento’s Increment ID.

    • Recommended: prefix with M- (e.g., M-101, M-102) to easily identify Magento orders.

  • Location

    • Select the Katana location where Magento orders should be imported.

  • Created Date

    • Map to Magento’s order creation date field.

  • Delivery Date

    • Optional. Leave blank to let Katana calculate, or create your own rule based on Created Date.

  • Line items (map from sheet columns):

    • Variant Sku → Variant SKU

    • Quantity → Quantity

    • Price Per Unit → Price per unit

  • Tax rate Id

    • Choose a Katana Tax Rate ID.

    • Tax rates cannot be mapped from Magento; all imported orders will use the same selected Katana rate.

Test the action to confirm.


Step 5: Turn on the Zap

Once tested, turn on your Zap. New Magento orders will now automatically import into Katana.


Important notes

  • SKUs: The Variant SKU must already exist in Katana. Missing SKUs will prevent line items from importing.

  • Products: Zapier cannot create new products in Katana.

  • Tax rates: Cannot be mapped from Magento; all orders use one selected Katana tax rate.


Workflow summary

  1. New order is created in Magento.

  2. Zapier finds or creates the customer in Katana.

  3. Zapier creates a sales order in Katana with mapped details.

  4. Katana manages stock, production, and fulfillment.

Your Magento sales orders are now automatically imported into Katana.
