Importing sales orders from Amazon Seller Central to Katana (via Zapier)

A guide for setting up the import of Sales orders from Amazon Seller Central to Katana via Zapier

This guide explains how to import sales orders (SOs) from Amazon Seller Central into Katana using Zapier.

  • This setup works for all Amazon sales channels and fulfillment options.

Note: The Amazon Seller Central Zapier app does not allow the import of customer data (PII such as name, email, or address). If you need customer data, use the FBA Zapier integration.


Prerequisites

  • Active Zapier account.

  • Active Katana account.

  • Amazon Seller Central connected to Zapier.

  • SKUs for all products must already exist in Katana.


Setting up the zap

Tip: Use the pre-made template to quickly create this Zap.

Step 1: Create a new Zap

  1. Step 1: Create a new Zap

    1. Log in to your Zapier account.

    2. Click Create > Zap.

Step 2: Set up the trigger

  1. Select Amazon Seller Central as the app.

  2. Choose the New Order trigger event.

    • This runs every time a new order is created in Amazon.

    • You can later filter by order status if needed.

  3. Connect your Amazon account (requires generating an API key).

  4. (Optional) Customize which order status triggers the import.


Step 3: Set up the action (Katana)

  1. Click the Action box to add an action.

  2. Select Katana as the app.

  3. Choose the Create Sales Order action event.

  4. Connect and log in to your Katana account.


Step 4: Map order fields

Configure how Amazon order data maps into Katana:

  • Customer ID

    • Choose Custom and select Find or Create Customer → ID (Katana’s internal ID, not visible in the UI).

  • Customer reference

    • Optional text/data field

  • Order number

    • Use the SO number column from the sheet.

    • If multiple rows have the same SO number, they will be grouped into one order with multiple line items.

  • Location

    • Select a single Katana location.

    • You cannot dynamically map a location from the sheet; all orders will import to one chosen location.

  • Created date

    • Choose a date column from the sheet, or type “today” to use the import date.

  • Delivery date

    • Map to a delivery date column in the sheet.

  • Line items (map from sheet columns):

    • Variant Sku → Variant SKU

    • Quantity → Quantity

    • Price Per Unit → Price per unit

  • Tax rate Id

    • Choose a Katana Tax Rate ID.

    • You cannot map tax rates from the sheet; all orders will use the same chosen rate.

Press Continue and Test the action to confirm.

Step 5: Test and activate

  • Run a test to confirm the setup.

  • Once successful, turn on your Zap.

Your Amazon orders will now import automatically into Katana as sales orders.


Important requirements & limitations

  • SKUs must already exist in Katana. If a SKU is missing, the sales order line will not be imported.

  • Zapier cannot create new products in Katana.

  • Customer data (PII) from Amazon is not available via Seller Central.

  • All imported orders will be linked to the “Unknown Amazon Customer” placeholder in Katana.


Workflow summary

  1. The customer places an order on Amazon.

  2. Order triggers Zap in Zapier.

  3. Zap creates a Sales Order in Katana using mapped fields.

  4. The order is linked to an Unknown Amazon Customer.

  5. Inventory and fulfillment are managed in Katana.
