Answers to six of the most common questions related to the Xero to Katana integration

Q: When are sales orders (SOs) and purchase orders (POs) pushed from Katana to Xero?

A: Orders are not pushed automatically.
You decide when to send them:

  • Click Create invoice on an SO to push it to Xero.

  • Click Create bill on a PO to push it to Xero.

Q: Can I import my customers and suppliers from Katana to Xero?

A: Yes. During the initial connection, you can import customers and suppliers from Katana to Xero. Later, when you push orders from Katana, contacts are automatically matched in Xero.

Q: Should I add new contacts in Katana or in Xero?

A: Both methods work:

  • Add in Katana: The contact is created in Xero when you push a related SO or PO. You can then add extra details in Xero if needed.

  • Add in Xero: Go through the reconfiguration flow in Katana (Settings → Integrations → Disconnect Xero → Reconnect) to retrigger the import of customers and suppliers.


    No duplicates will be created for previously imported contacts.

Q: Does Katana create POs in Xero?

A: No. Katana only creates bills in Xero, not POs.

Q: Does Katana automatically sync inventory levels to Xero?

A: No. Katana does not sync stock to Xero balance sheet accounts.

  • Katana records sales and purchases directly to the revenue and expense accounts you selected during setup.

  • If needed, you can record stock in Xero by creating manual journal entries based on Katana data (e.g., monthly, quarterly, or yearly). Read more

Q: Can I push invoices from Xero to Katana?

A: No. You can only push SOs from Katana to Xero as invoices — not the other way around.


We recommend creating SOs in Katana first, then pushing them to Xero to handle payments and revenue tracking.
