KAI is Katana’s built-in AI assistant designed to streamline your sales order (SO) process and provide actionable insights—all within your existing workflow. It helps automate repetitive tasks, reduce manual errors, and surface real-time business intelligence.

Email-to-SO assistant

KAI can automatically extract sales order details from emails and convert them into Katana quotes or SOs, reducing manual data entry.

How to use:

  1. Navigate to the Sell screen in Katana.

  2. Click the KAI Assistant icon.

  3. Paste the email content into KAI’s input field.

  4. KAI will extract the relevant information and create a quote.

  5. Review the details for accuracy and make any necessary adjustments.

  6. Once satisfied, send out the quote or convert it into an SO.

Tip: For best results, ensure the email contains clear and structured order information, and double-check customer details and product SKUs.


Custom chart generation

KAI can generate tailored visualizations to help monitor long-term sales trends, customer buying patterns, and product performance.

How to use:

  1. Access KAI via the Sell screen.

  2. Request the type of chart you need by specifying the data or metrics you're interested in.

  3. KAI will generate the chart based on your specifications.


Summary widget

The Summary widget provides a real-time overview of sales metrics directly on the Sell screen, helping you make informed decisions conveniently.

Key metrics displayed:

  • Total SOs: Number of orders within a selected timeframe.

  • New orders: Orders received in the past 24 hours.

  • Delayed orders: Orders that are pending or require immediate action.

  • Sales value: Total value of sales for the day.

How to use:

  1. Locate the widget on the Sell screen.

  2. Click on it to open KAI's side panel.

  3. Use premade options to generate graphs or ask KAI to generate custom insights.


Data privacy and limitations

  • Data handling: KAI utilizes AI models developed by OpenAI to process and understand natural language from emails to generate accurate SOs.

  • Data security: Data is processed securely within Katana's systems and is not shared with OpenAI or any third parties for model training purposes.

  • Data minimization: Only the data needed to perform a requested task is used and isn't stored any longer than needed.

  • Third-party tools for charts: If generating charts, KAI uses trusted third-party tools. Any data used is handled in compliance with our data protection policies.

Note: While KAI is designed to be accurate, AI-generated outputs may not always be perfect. We recommend reviewing all AI-generated SOs and summaries for accuracy before finalizing actions.


FAQs

Q: What if the Email-to-SO Assistant doesn't extract information correctly?

A: Ensure the email follows a clear format with identifiable order details. If issues persist, manually adjust the SO before saving.

Q: Can I customize the metrics displayed in the Summary Widget?

A: Not at the moment, but customization options are being considered for the future.

Q: Is there a limit to the number of emails I can process with KAI?

A: There is a limit of 10 SOs at a time; however, processing a very large number of SO rows may impact performance. For best results, process emails individually.
