KAI is a brand new AI-powered assistant within Katana designed to streamline the sales order (SO) process and provide valuable insights in a convenient place.

KAI combines two features:

  • Email-to-SO assistant: Automatically turn emails into transcribed Katana SOs.

  • Custom chart generation: Ask KAI to generate to generate a chart based on the specifics that you ask for.

  • Sales screen widget: Gain a real-time summary of sales metrics and insights right on your Sales screen.

This guide will help you understand how to make the most of KAI to enhance your workflow.

What is the Email-to-SO assistant?

The Email-to-SO assistant allows you to automatically take SO details from an email and convert them into a Katana SO, reducing manual data entry and minimizing errors.

  • Saves time by automating the SO entering process

  • Reduces errors that can occur from manual entry

  • Enhances productivity by freeing up more time for sales activities

How to use the Email-to-SO assistant

  1. Access the Assistant by navigating to the Sales screen in Katana and then clicking on the KAI Assistant icon.

  2. Import an Email by copying/pasting the sales order details from an email into KAI's input field.

  3. KAI automatically extracts the relevant information and creates a quote. Remember to review the details for accuracy and make any necessary adjustments.

  4. Once you're satisfied, either send out the quote or transform it into an SO.

Tip: For best results, make sure the email contains clear and structured order information and double-check customer details and product SKUs.

Custom chart generation

If you want to monitor things like long-term sales trends, customer buying patterns, or even dive into product performance, KAI’s charting capabilities let you create tailored visualizations. To turn raw data into insights, just ask KAI to generate the type of chart that you're looking for.

What is the Summary Widget?

The Summary Widget provides a real-time overview of sales metrics directly on the Sales screen, helping you to conveniently make informed decisions.

  • Tailor the widget to display the metrics that are the most important for you.

Summary Widget insights

The widget combines a wide array of insights based on your SOs, including:

  • Total SOs — number of orders within a selected timeframe.

  • New orders — orders received in the past 24 hours.

  • Delayed orders — orders that are pending or require immediate action.

  • Sales value — total value of sales for the day.

How to Use the Summary Widget

You can begin viewing key metrics by locating the widget on the Sales screen.

To interact with the widget, click on it, and KAI's side panel will open. Inside this panel, you can use premade options to generate graphs or ask KAI to generate custom insights.

Q: What if the Email to SO Assistant doesn't extract information correctly?

A: Make sure that the email follows a clear format with identifiable order details. If this doesn't help, manually adjust the SO before saving.

Q: Can I customize the metrics displayed in the Summary Widget?

A: Not at the moment, but customization options are being considered for the future.

Q: Is there a limit to the number of emails I can process with KAI?

A: There is a limit of 10 SOs at a time, however, processing a very large amount of SO rows may impact performance. For best results, process emails individually.
