Managing customer returns efficiently is crucial for maintaining accurate inventory and customer satisfaction. Katana provides a streamlined process for creating and editing return orders linked to original sales orders (SOs).
Creating a return order
Access completed SOs:
Navigate to the Sales screen.
Click on the Done tab to view completed SOs.
Initiate return:
Select the SO for which you want to create a return.
Click on the + Return button near the SO's status.
Select items to return:
A pop-up window will display items from the original SO.
Full Return: Click the checkbox in the top right corner to select all items.
Partial Return: Use checkboxes next to each item and specify quantities in the Return quantity column.
Note: If a customer sends items back in multiple shipments, you can create separate return orders for each return. Katana tracks each return individually while linking it to the same original SO. Each linked return order can be accessed directly from the SO.
Finalize return order:
Click Continue to proceed.
Adjust return details as needed.
Change the status to Returned if items have been received and inspected.
Note: If the items are being restocked, refer to the guide on how to restock return orders.
Return order details
Customer: Automatically populated from the original SO. Click the name to view the customer's card.
Original sales order #: Displays the original SO number. Click to view the SO.
Return order #: Auto-generated identifier for the return order. Editable if needed.
Tracking Info: Add tracking numbers or links by clicking the down arrow.
Created Date: Defaults to the current date but can be manually adjusted.
Returned Date: Indicates when returned items arrived. Auto-fills upon changing status to Returned.
Return To: Select the location where items are being returned, especially if managing multiple locations.
Managing line items
Item: Displays items selected for return. Add more by clicking + Add row.
Reason: Select the reason for return from a predefined dropdown list.
Total sold: Quantity of the item sold in the original SO.
Net price per unit: Price per unit from the original SO, accounting for any discounts.
Available for return: Calculates remaining quantity available for return (Total Sold - Return Quantity).
Return quantity: Specify the quantity being returned.
Remove items: Click the trashcan icon at the end of a row to remove an item.
Handling batch-trackable items
For items with batch tracking:
A yellow triangle icon will appear next to the item.
Click the icon to add or edit batch information as required.
