How to manage returns between Shopify and Katana

Make return management easier by keeping them aligned between Shopify and Katana.

Easily align return management by syncing returns from Shopify to Katana.


How Shopify return sync works

  • Katana supports one-way return syncing from Shopify → Katana.

  • When enabled, returns created in Shopify are automatically reflected in Katana as return orders.

Note: The status of the return order in Katana needs to be updated to Restocked in order to add the item back into inventory.


What is synced

The following return details are supported:

  • Add or remove return line items

  • Update return quantities

  • Update return reasons

  • Import customer notes

  • Import return location (based on Shopify warehouse or fulfillment center)


Important notes

  • Katana does not process financial refunds from Shopify.

  • Instead, return statuses are updated as follows:

Shopify status

Katana status

Refund only

No action

Restock

Returned

Note: If a return exists in both Katana and Shopify, and the status in Katana is updated to Returned, the status in Shopify will update to Return closed.


How to enable Shopify return sync

  1. In Katana, go to the Integrations Marketplace (puzzle icon on the top toolbar).

  2. Find your connected Shopify store and click Open Configuration.

  3. Open the Orders tab from the left-side menu and scroll down to Order changes.

  4. Check the box labeled Bring order returns from Shopify to Katana.

Once enabled, return orders will automatically be created in Katana whenever items are restocked in Shopify. Uncheck to disable.
