How to create and edit a return order

Learn about all the essentials when it comes to creating return orders

Find out how to create a return order from a sales order (SO). This guide will also describe how to add, edit, and remove items from the return and perform a partial return.

Create a return


  1. To create a return, you'll first need to find the completed SO that is being returned. Head to the Sales screen, click on the Done tab, and select the SO.

  2. On the completed SO you've opened, click on + Return near the SO's status.

  3. You will then be brought to the newly created return, which will have a pop-up window showing the items on the original SO.

    1. If the entire SO is being returned, click the checkbox in the top right and choose Continue.

    2. If you're only making a partial return, you can use checkboxes next to each line item and the Return quantity column to determine what is being returned.

      Note: If a customer sends items back in multiple shipments, you can create separate return orders for each return. Katana tracks each return individually while linking it to the same original SO. Each linked return order can be accessed directly from the SO.

  4. Once the items are chosen, press Continue. You can then make adjustments to the return as you see fit, and change the status to Returned if the items have arrived and completed inspection.

General return card info


This is the info and fields you will find on a return.

*Customer
The name of the customer for whom the original SO was. This is automatically filled in. Clicking the name will bring up the customer's card.

Original sales order #
This shows you the number for the original SO. Clicking it will bring up this SO.

Return order #
An identifier for the return order. This is auto-generated, but can be edited.

Tracking info

If you have any tracking info for the return (such as a tracking number or link), you can click the down arrow and add that info here.

Created date
The return's creation date. By default, it matches the day it was created, but it can be manually adjusted.

Returned date
This is a customizable date showing when returned items arrived back at your store/warehouse. The date will auto-fill if you update the return's status to Returned.

Return to
If you use multiple locations, you can choose which location you want the items returned to.

Line items


Item

The item(s) being returned. This will show the items you chose when creating the return, but if you missed an item, click + Add row to add more.

Reason

Add the reason for return based on preset options in a dropdown.

Total sold

The total amount of that item sold on the original sales order.

Net price per unit

The price of how much 1 of each item on the original SO cost (with any discounts that may have been added).

Available for return

This number is the amount left of an item after it has been returned (Total sold - Return quantity = Available for return).

Return quantity

The amount of an item being returned

Items can be removed by clicking on the trashcan icon at the end of each row.

Returning batch-trackable items

If a returned item is batch-trackable, a yellow triangle will appear in the row, and this is where you can add the batch information.
