Understanding inventory tracking on bins

Further specific your level of traceability by tracking on storage bins.

Track exactly where every item is stored in your warehouse with bin tracking. Katana will maintain stock quantities, batches, and serial numbers for each storage bin across your workflows.


Benefits

  • When choosing items from bins, you'll see stock levels per bin on POs, MOs, SOs, transfers, adjustments, and stocktakes

  • Find quantities, batches, and serial numbers broken down by bin directly on the Stock screen

  • Location totals and batch and serial number traceability maintain accuracy (bins provide additional details)


Enabling/disabling bin inventory tracking

By default, tracking is enabled, but you can disable (and re-enable) whenever you choose.

Note: Enabling/disabling doesn't move any stock.

  1. Head to Settings > Locations > Storage bins.

  2. Find the Track inventory in storage bins toggle.

    1. Enabling/disabling will not delete bins, default bin labels, location totals, or traceability data

    2. All transitions are reversible at any time

    3. The actual stock movement always happens through standard bin transfers, which the customer must review and complete — nothing is force-moved by the toggle itself

Disabled tracking

If any items have stock recorded in bins, the pop-up when you disable will show per-location stock, and you'll have the option to:

  • Disable: turns tracking off, leaving the existing bin-level placement as is (this may cause a future problem as stock moves without bin-level tracking).

  • Transfer to Unassigned: creates a draft bin transfer (per location) to move stock back to Unassigned, so bin data doesn't become inaccurate if tracking is turned back on.

If you choose Transfer to Unassigned, a follow-up pop-up shows the created bin transfer(s) and explains that bin tracking stays on until each transfer is reviewed and set to Done. At that point, you can click Disable.

Enabled tracking

When tracking is enabled, a confirmation pop-up will appear.

The dialog shows, per location, how many items currently have stock in Unassigned.

You can then choose to:

  • Enable: turns tracking on with no further action

  • Enable and create bin transfers: creates a draft bin transfer per location, pre-filled to move each item's stock from Unassigned into its default bin

If the second option is chosen, a follow-up pop-up lists the created bin transfers (one per location, each linked directly). These stay in an Open state with nothing moving until each is reviewed and completed manually.
