Inventory preferences for order completion: negative stock and traceability

Choose whether Katana notifies you or blocks you when completing an order that would cause negative stock or missing traceability data.

When completing orders, it can happen that negative stock is created in your warehouse, or traced items end up without any assigned batch or serial number.

If you'd like to prevent this from happening, you can use the Preference toggles in the Settings screen under Inventory management to set tighter restrictions so that negative stock and/or not assigned items aren't created.


Changing inventory management preferences

  1. Head to Settings > Inventory management > Preferences

  2. Inside this page, you'll find three different toggles that allow you to block order completion based on whether it'll create negative stock or traced stock without assignment.

Negative stock prevention

This toggle, when enabled, will block orders that would result in negative stock from being completed. This doesn't apply to batches or serial numbered items.

Negative stock prevention (traced stock)

This toggle, when enabled, will block orders that would result in negative traced stock from being completed. This applies to batched and serial numbered stock.

Require traceability assignment

When enabled, all traced items on an order must be assigned before the order can be completed.


Additional information

The preferences only come into effect when completing an order in Katana. They don't apply to stock adjustments or to changes made to completed documents (past stock will remain correct).

Orders from connected sales channels

Orders completed through a connected sales channel, including any linked make-to-order manufacturing orders, are never blocked. What has already happened in the sales channel must be reflected in Katana so your stock stays in sync with it.

For these orders, batches and serial numbers are assigned automatically from available stock: first expired first out (FEFO) with a fallback to first in, first out (FIFO).

Any quantity that stock cannot cover is recorded without traceability, which can leave stock negative.
