How to import initial stock levels from WooCommerce to Katana?

During the initial connection of the WooCommerce x Katana integration, you can choose whether to import stock levels for products from WooCommerce into Katana.


Why import stock levels?


How it works

  • If switched ON → All WooCommerce product stock levels are imported to Katana.

    • Katana creates a Stock adjustment to record these quantities.

    • You can find it under Stock screen > Stock adjustments tab and edit it anytime.

    • You must also define an initial cost for the imported stock.

  • If switched OFF → No stock levels are imported from WooCommerce.


Stock location mapping

If you have multiple locations in Katana, you can select which Katana location your WooCommerce store connects to.

  • Initial stock levels will be imported into that mapped location.


How stock levels are calculated

WooCommerce and Katana calculate stock differently, so imported values may not match exactly.

Formula used by Katana:

In stock (Katana) = Stock quantity (WooCommerce) + Stock on open Sales orders

Reconciliation formula:

Stock quantity in WooCommerce = In stock in Katana - Committed in Katana

Example:

  • WooCommerce shows 7 pcs of Product A in stock.

  • There is an open SO in WooCommerce for 3 pcs.

  • After connecting and importing stock:

    • Katana shows 10 pcs in stock for Product A.

    • Katana also shows 3 pcs Committed for Product A.

If there are no open SOs, the stock numbers in WooCommerce and Katana will match.


When to switch on initial stock import

We recommend turning stock import ON during the first connection if WooCommerce stock levels are reliable.

Do NOT switch it ON when reconnecting or reconfiguring unless:

  • You’ve cleared all your data in Katana and want to start fresh, or

  • You’ve deleted the Stock adjustment created during the first import.

If stock is imported twice, simply delete the extra Stock adjustment under Stock > Stock adjustments.


Notes and cautions

  • If you connect multiple WooCommerce stores to the same Katana location, importing stock from each store will add quantities together in Katana.

  • If this happens, delete the extra Stock adjustment created for the duplicate import.
