Quickly add serial numbers to Katana via a template import

If you track serial numbers for your products and have serial tracking information available outside of Katana (such as a spreadsheet or another system), you can use our import template to bulk-add serial numbers to Katana.

Importing can be a particularly efficient method to insert serial numbers when you're implementing Katana.

To use serial tracking in Katana, you'll need to be on an Advanced or higher plan. You can upgrade from the Subscription page in Katana or by enabling an Advanced feature (e.g. enabling batch tracking for an item in Katana).

Importing serial numbers

  1. Download the template for serial numbers by heading to Settings screen > Data import

  2. Find the Update documents with serial numbers section and click Download data.

    This will download a list of items that have serial number tracking enabled. The file will include the list of closed Manufacturing orders which have:

    1. Items with serial numbers specified (if you've already added serial numbers into Katana)

    2. Items that have serial number tracking enabled but no serial numbers specified. In this case, the Serial number field will be empty in the downloaded file.

  3. Adding serial number data to the file:

    * = Required Field

    • *Katana ID — Imported serial numbers are matched to existing products in Katana by the Katana ID column values in the spreadsheet. These IDs are not visible within in Katana, but are a value used solely for matching products. If the Katana ID field is empty or doesn't match an existing item in Katana, the row will be skipped during import.

    • MO # is the closed Manufacturing order identifier for which serial numbers will be attached. You can find the MO identifier on the Make screen, in the Done tab for the closed MOs.

      Note: The file considers MO quantities and will display the respective amount of rows for each MO based on the quantity. For example, if MO quantity = 30, then 30 rows for each MO is displayed.

    • Variant code and Item variant are fields that define the item for which the serial number will be assigned. You cannot create new products in Katana with this template, you can only add serial numbers (read more about creating new products).

    • *Serial number is a field that defines the serial number for each Item. Each row in the file is a specific serial number for an item variant.

      For example:

      • If Serial Number is empty, the row will be skipped during import.

      • In Katana, each serial number for an item variant has to be unique. The row will be skipped during import if the same Serial Number for a specific variant already exists in Katana. If you enter multiple rows for the same item variant with a matching Serial Number to the template, only the last row for this batch will be imported.

      • If the MO # does not exist in Katana, the row will be skipped during import.

  4. Import the filled template into Katana from Settings screen > Data import by clicking Upload data under Update documents with serial numbers.

  5. Katana will examine the file to see if the file format matches the import requirements (the required columns exist in the file) and will notify you if the file is incompatible.

  6. If the import is successful, Katana will indicate how many rows were imported.

  7. As a result of the import, a Stock adjustment will be created in Katana to register the stock movements with serial numbers. You can find Stock Adjustments from Stock screen > Stock adjustments tab. Stock Adjustments can be edited if needed.
