Update serial numbers for completed manufacturing orders to ensure accurate tracking and records.

You can update serial numbers for completed manufacturing orders (MOs) to maintain accurate tracking and records. Modify or add serial numbers post-completion to ensure that all products are correctly documented.

If you track serial numbers for your products and have serial tracking information available outside of Katana (such as on a spreadsheet or another system), you can use our import template to bulk-add serial numbers to completed MOs in Katana.

To use serial tracking in Katana, you'll need to be on an Standard plan or higher. You can upgrade from the Subscription page in Katana or by enabling a Standard plan feature (e.g. enabling batch tracking for an item in Katana).

Importing serial numbers

To update serial numbers in bulk, you'll want to use spreadsheet import.

  1. Download the template for serial numbers by heading to the Settings screen > Data import section.

  2. Find Update manufacturing orders with serial numbers and click Download data.

    The file will include a list of completed MOs which have:

    • Items with serial numbers assigned (if you've added serial numbers into Katana)

    • Items that have serial number tracking enabled but no serial numbers specified. In this case, the Serial number field will be empty in the downloaded file.

  3. Add serial number data to the file.

    * = Required Field

    • *Katana ID: Imported serial numbers are matched to existing MOs in Katana by the Katana ID in the spreadsheet. These IDs aren't visible within Katana. If the Katana ID field is empty or doesn't match an existing MO, the row will be skipped.

    • MO #: the completed MO number where serial numbers will be attached. This field is only used as a reference and won't be updated by the import.

      ​Note: The file will display the particular amount of rows for each MO based on the quantity. For example, if MO quantity = 30, then 30 rows for each MO is displayed.

    • *Serial number: a field that defines the serial number for each item. Each row in represents a specific serial number for an item variant.

      • If the Serial number field is empty, the row will be skipped during import.

      • Each serial number for an item variant has to be unique. The row will be skipped during import if the serial number already exists. If you enter multiple rows for an item variant with a matching serial number, only the last row of this batch will be imported.

  4. Import the completed template into Katana from Settings screen > Data import by clicking Upload data under Update manufacturing orders with serial numbers.

  5. Katana will review the file to see if it matches import requirements (the required columns exist in the file) and will notify you if there is an issue.

  6. If the import is successful, Katana will indicate how many rows were imported.

  7. Once completed, manufacturing orders will be updated with serial numbers.
