How price lists on sales orders (SOs) work

See how Katana applies price lists to sales orders for optimal pricing strategies

Price lists allow you to offer specific item prices to customers based on negotiated rates, streamlining your sales process and ensuring billing accuracy. When a customer associated with a price list is added to a sales order (SO), their custom prices are automatically applied.


Key points

  • Automatic price application: If a customer has one or more active price lists, the system will automatically apply the most favorable price for each item on the SO.

  • Price list overrides: The price from the price list will override the item's default sales price and any customer-specific discounts previously set on the customer card.

  • Multiple price lists: If multiple price lists are associated with a customer, Katana will apply the lowest available price for each item.

  • Visibility: Upon selecting a customer with linked price lists, Katana displays the number of available price lists beneath the customer's name on the SO.

  • Price updates: Modifying a price list after it's been applied to an SO will not retroactively change the prices on that order. Only new SOs will reflect the updated prices.

  • Ecommerce orders: Price lists are not applied to SOs imported from ecommerce platforms like Shopify or WooCommerce.


Applying price lists to a sales order

  1. Create an SO:

    • Navigate to the Sell screen and click on + Sales order.

  2. Select a customer:

    • Choose a customer associated with one or more active price lists.

    • Katana will display the number of linked price lists beneath the customer's name.

  3. Add items to the order:

    • As you add items, Katana automatically applies the most favorable price from the customer's price lists.

    • The applied price will override the item's default sales price and any customer-specific discounts.


Additional considerations

  • Percentage adjustments: If the price list uses percentage-based adjustments (e.g., discounts or markups), the percentage will be displayed on the SO line items.

  • Fixed prices: For fixed price adjustments, the specified amount will replace the default sales price on the SO.

  • Customer discounts: Price list prices take precedence over any discounts set on the customer's profile.
