Price lists: setup, adding items, and connecting customers

Set up and manage price lists in Katana, linking items and customers for tailored pricing.

The Price lists feature allows you to offer specific item prices to customers based on negotiated rates, streamlining your sales process and ensuring billing accuracy. This is particularly useful when multiple customers share the same set of non-default prices. By associating a customer with a price list, their custom prices are automatically applied to sales orders (SOs).

Note: Price lists are only available for those on a Professional or higher plan.


Setting up a price list

  1. Navigate to the Sell screen and select the Price lists tab.

  2. Click on the + Price list button.

  3. Assign a descriptive name to the price list (e.g., "Wholesale Clients", "VIP Customers") for easy identification.

  1. In the items table, type the item's name or SKU to add it to the price list.

  2. For each item, you'll see the following columns:

    • Default sales price: The item's standard sales price from its item card.

    • Adjustment Method: Determines how the custom price is calculated. Options include:

      • Fixed: Replaces the default price with a specified amount.

      • Percentage: Applies a percentage discount or increase to the default price.

      • Markup: Increases the default price by a specified percentage.

    • Amount: The value used in conjunction with the adjustment method.

    • Final price: The resulting price after applying the adjustment.

Note: Each price list can contain up to 10,000 items.


Connecting customers to a price list

  1. Within the price list, navigate to the Customers tab.

  2. Add customers by typing their names into the Name column or by clicking + Add new row and entering the customer's name.

Note: A single price list can be associated with up to 1,000 customers.


Activating and deactivating a price list

  • Activating: By default, new price lists are set to Inactive.

    To activate:

    1. Navigate to the Price lists tab.

    2. Locate the desired price list and toggle its status to Active.

  • Deactivating: To deactivate an active price list, toggle its status back to Inactive.

Important: Changing a price list's status to Inactive will not affect prices on existing SOs where the price list has already been applied.
