How to manage data mapping with HubSpot

Master data mapping between HubSpot and Katana for seamless workflow and data accuracy.

Set up data mapping between HubSpot and Katana to ensure seamless workflows and accurate data transfers.

When configuring the integration, you’ll find the Data mapping tab, where you can map HubSpot object properties to Katana data fields. This ensures the right information flows between systems during workflows.


How data mapping works

  • Most fields are automatically mapped to their HubSpot equivalent.

  • If a field isn’t mapped automatically, you can manually select a HubSpot property.

  • Unmapped fields will either use Katana’s default value or remain blank.

  • The dropdown only shows HubSpot properties of the same field type (e.g., a date field in Katana can only be mapped to a date field in HubSpot).


Sales orders

Map general SO fields, such as order number, delivery deadline, and additional references.


Customers

  • A HubSpot deal can include both a Contact and a Company, but Katana sales orders only allow one Customer.

  • Default behavior:

    • If the deal has a Contact → the Contact is imported as the Customer.

    • If the deal only has a Company → the Company is imported as the Customer.


Customer addresses

  • Address properties from HubSpot are automatically mapped to Katana.

  • Behavior:

    • If the deal has a Contact → the Contact’s address becomes the Bill to address.

    • If the deal only has a Company → the Company’s address is used.

    • The Ship to address defaults to the same as the Bill to address.

  • If the address info in HubSpot changes and a new deal is created for that Contact/Company, a new billing address is added in Katana when the SO imports.


Sales order rows (line items)

  • Katana imports HubSpot deal line items as:

    • Inventory items (if the product type is physical)

    • Service items (if the product type is service)

  • Matching rules:

    • Products are matched using Product name and SKU.

    • Katana sets the Default sales price from the HubSpot deal line unit price.

    • If an existing item with the same SKU already exists in Katana → the item is skipped (not duplicated).


With proper mapping, Katana and HubSpot stay aligned on sales orders, customer data, and product details — helping you avoid duplicates and maintain clean, accurate records.
