Seamlessly connect Katana with HubSpot to sync deals, customers, and inventory for smoother order and production management.
Connecting takes only a few minutes and can be done directly from Katana.
Requirement
You need to be on HubSpot’s Professional plan or higher to use this integration.
What syncs between HubSpot and Katana
1. Deals → Sales Orders (SOs)
Katana automatically pulls in deals from HubSpot and saves them as SOs.
You can configure which pipeline and deal stage will be used for creating SOs.
All future deals that reach this stage will be imported automatically.
Existing deals already in the configured stage will also be imported immediately once the integration is activated.
2. Customers
The deal’s personal contact or company is imported to Katana as a customer.
Katana uses HubSpot’s logic to determine whether to pull the contact or company.
3. Products and services
Katana matches HubSpot deal line items to products/services using SKU codes.
If no SKU exists and no matching item name is found, a new item is created in Katana.
4. Stock availability
Katana pushes product stock availability data back to HubSpot so your sales team can see real-time inventory.
5. Updates and changes
Any updates in HubSpot (e.g., order quantity, discounts) are synced to the related Katana SO.
If a deal imported as an SO in Katana is later marked Closed Lost in HubSpot, the corresponding SO is deleted in Katana.
6. Locations
All SOs imported from HubSpot use your default sales location as defined in Katana’s Location settings.
Summary
The HubSpot integration ensures your sales team always has visibility into stock availability while Katana automatically creates and manages sales orders from HubSpot deals. This eliminates manual work and keeps order fulfillment in sync between your CRM and inventory system.
