Control user access to specific locations in Katana to maintain security and streamline workflows.


What is location access permission?

If you’re using multiple locations in Katana (e.g., warehouses, stores, or manufacturing sites), the Location access permission lets you decide which users can access which locations.

  • Users can only view and edit orders, stock, and documents for the locations they have access to.

  • Restricted locations are completely hidden from them, including related stock and order data.

  • A user’s overall visibility also depends on their other assigned permissions.

Note: Each user must have access to at least one location.


Default behavior

  • By default, all users have access to all locations.

  • You can adjust this at any time to limit access for specific roles (e.g., warehouse teams vs. retail teams).


Editing location access permissions

You can set or update location access when inviting a new user, or later by editing their permissions:

Option 1: From the Team page

  1. Go to Team from the top-right menu.

  2. Click on the user’s name.

  3. Select which locations they should have access to.

Option 2: From the Locations settings

  1. Go to Settings > Locations.

  2. Select a location.

  3. Adjust which users have access to it.
