Lightspeed Retail POS integration allows you to connect your point-of-sale store to Katana to streamline your retail operations. Grow your bottom line by connecting Lightspeed Retail POS to Katana (via Extensiv Integration Manager) to automate the following workflows:
Sales order retrieval from Lightspeed POS to Katana
Push inventory levels from Katana to Lightspeed POS
NOTE: This integration supports Lightspeed Retail POS R and X Series. Other Lightspeed Retail POS products are not supported.
How it works
In Extensiv, the order destination is a Warehouse Management System (WMS). Authorize Katana as a WMS to act as a source of truth for inventory in this integration.
Lightspeed Retail POS is set as a Cart (order source). Extensiv will import sales orders with related info about products and customers from Lightspeed Retail POS to Katana. Extensiv also passes available inventory levels from Katana to Lightspeed Retail POS.
Connecting Lightspeed POS with Katana
Log in to Extensiv or create an account.
Connect Extensiv to Katana as WMS (Order Destination).
Once Katana is connected to Extensiv as Order Destination (WMS), head to Extensiv and select Carts from the left-side menu > click New Setup > find Lightspeed Retail or Lightspeed X-Series (Vend) from the list of available carts.
In the New Lightspeed POS Setup screen, Grant Us API Access to authorize Extensiv to connect to your Retail POS app.
The Lightspeed Retail login page will open. Authorize the Application to create the connection. You will then be directed back to the original Extensiv connection screen. Wait until you see the Successful Authorization message.
Adjust Lightspeed Cart Setup for pulling orders from POS to Katana.
Check whether you want the integration to Limit to single Shop ID in Lightspeed. If left blank, Extensiv will pull orders from all Lightspeed Shops – read more. This is also relevant to the inventory updates.
Add Employee ID as Lightspeed requires it to run an Inventory Count prior to updating inventory
To authorize an Extensiv connection with Lightspeed X-Series POS (Vend), you’ll need to create a separate Access Token. Here are the instructions on how to do it. In the New Lightspeed X Series (Vend) setup screen, add your store URL and Access Token.
Adjust Lightspeed X-Series (Vend) Cart for pulling orders from your POS to Katana.
Review order statuses that need to be pulled into Katana
Add POS Outlet Name, also POS location for orders and inventory sync with Katana (For multiple Vend Outlets, each must be a unique cart in Extensiv with its own Vend Access Token)
In the section of General Order Options:
Add the Earliest Order Date from when orders need to be pulled to Katana
Translate Item Code defines item SKU that will be synced from Cart to Katana (read more about Product Aliases in Extensiv)
In General Inventory Options:
Set up the Minimum Inventory Level to prevent overselling
If, for example, the minimum inventory level is set to 5, Extensiv passes the true available to Lightspeed when the level in Katana is more than 5. If it's less, Extensiv tells the cart that the item has 0 available
Read more about inventory sync in Extensiv
Push Inventory Using Alias (read more about Product Aliases in Extensiv)
Select the Katana warehouse Location for inventory sync
Adjust Katana WMS information for Order status and Warehouse Location where orders will be loaded in Katana.
Auto Create Missing Katana Products allows Extensiv to create new products in Katana when SKU matches are not found
Any products added to Katana will be added as new products, not variants
by default, Extensiv declines any order containing items with SKUs not present in Katana. This prevents duplicate products if your sales channels use a different SKU than exists already in Katana
Create Customer Addresses: if Extensiv creates a new customer in Katana, choose whether order processing billing and shipping information should be included in the customer profile
Review the settings to ensure they match your preferences. Then, verify that the connection works by clicking Test at the bottom of the page. If the test is successful, click OK to save changes.
Note: Partial Fulfilment and Returns are not supported
You are now set for importing SOs from Lightspeed Retail to Katana and syncing inventory levels from Katana to Lightspeed Retail POS.
