Connect your Lightspeed POS store to Katana via Extensiv
Overview
Lightspeed Retail POS is a cloud-based point-of-sale system for managing inventory, sales, customers, and payments across multiple channels and locations.
By connecting Lightspeed Retail POS with Katana via Extensiv Integration Manager, you can automate:
Importing sales orders from Lightspeed → Katana
Syncing inventory levels from Katana → Lightspeed
Note: Supported Lightspeed versions: R Series and X Series (Vend). Other Lightspeed POS products are not supported.
How it works
In Extensiv, Katana is set up as a WMS (Warehouse Management System) → the source of truth for inventory.
Lightspeed Retail POS is set up as a Cart (order source) → sales orders and customer/product data are imported into Katana.
Inventory availability from Katana is pushed back to Lightspeed.
Connecting Lightspeed POS with Katana
Step 1: Connect Katana as WMS
Log in to Extensiv (or create a free account).
Add Katana as your Order Destination (WMS) (read more).
Step 2: Add Lightspeed as a cart (order source)
For Lightspeed Retail POS R Series
In Extensiv, go to Carts → New Setup → Lightspeed Retail.
Click Grant Us API Access.
Log in to Lightspeed and authorize the connection.
Return to Extensiv and wait for the Successful Authorization message.
Configure your Cart Setup options (see below).
Additional settings for R Series:
Limit to single Shop ID – leave blank to pull orders from all shops, or enter a Shop ID to restrict syncing (read more).
Employee ID – required by Lightspeed to run inventory counts before updates.
For Lightspeed Retail POS X Series (Vend)
In Extensiv, go to Carts → New Setup → Lightspeed X Series (Vend).
Enter your Store URL and Access Token (generated in your Lightspeed account).
Adjust Cart Setup options:
Define which order statuses should import into Katana.
Add the POS Outlet Name for orders and inventory sync.
Each outlet requires a unique Cart setup with its own Access Token.
Cart setup options
General order options
Earliest Order Date – define from when orders should be pulled.
Translate Item Code – map item SKUs using Extensiv’s Product Aliases.
General inventory options
Minimum Inventory Level – set a threshold to prevent overselling.
Example: if set to 5, Extensiv will report 0 stock to Lightspeed when Katana stock ≤ 5.
Push Inventory Using Alias – map inventory with Product Aliases.
Select Katana Warehouse – choose which warehouse’s stock levels sync.
Other settings
Auto Create Missing Katana Products – create new products in Katana if SKUs are not found.
Products are added as new items, not variants.
By default, Extensiv declines orders with unknown SKUs (to avoid duplicates).
Create Customer Addresses – choose whether billing and shipping info should be added when new customers are created in Katana.
Finalize the connection
Review all settings.
Click Test at the bottom of the Extensiv screen.
If successful, click OK to save.
You are now set up to:
Import sales orders from Lightspeed → Katana
Sync inventory levels from Katana → Lightspeed
Notes
Partial fulfillment and returns are not supported.
Each Lightspeed Shop or Outlet must be set up separately in Extensiv.
Example workflow
Order is created in Lightspeed POS.
The order appears in Extensiv.
Extensiv pushes the order into Katana with product and customer details.
