How to create/edit custom print templates

Learn how to make custom print templates look how you want them.

Custom print templates allow you to personalize your PDF documents (e.g. Sales Orders, Purchase Orders, Packing Lists) with your own branding, layout, and data. This guide walks you through creating and editing your own templates using Katana’s integrated PDF Editor.

How to create and edit a custom template

  1. Go to Print templates in Settings

    • Navigate to Settings in Katana.

    • Click Print templates from the left sidebar or click this link.

  2. Choose a document type

    • Scroll to the document type you want to customize (e.g. sales order templates, manufacturing order templates).

    • Click the ➕ Add new button in the section for that document type.

  3. Pick a base template

    • Select an existing base template to start from. This template will serve as the layout foundation.

    Tip: Want to use an existing custom template as your base?
    Click the ⋯ (three-dot) icon next to it and choose Duplicate.

  4. Open the PDF Editor

    • A copy of the selected template will appear in the list, and the PDF editor will automatically open in a new tab.

    • You can also access the PDF editor by clicking the ⋯ (three-dot) icon next to the new template and choosing Edit.

What you can customize

Once inside the PDF Editor, you can:

  • Modify layout elements like headers, logos, and footers.

  • Add new data fields (SKU, batch numbers, payment terms, etc.).

  • Insert barcode fields for items or batches.

  • Change fonts, sizes, and color styling.

  • Use editable fields for customer input (e.g. name/signature lines).


Final tips

  • Don’t forget to save your work in the PDF Editor (File > Save or press Ctrl/Cmd + S).

  • Your custom templates will be available for all users in your Katana account under the selected document type.
