Sync fulfillment status to Etsy from Katana (via Make)

Setup a workflow that marks an order as shipped in Etsy when a Sales order delivery status is changed to Delivered in Katana

This guide explains how to set up a workflow in Make (formerly Integromat) that automatically marks an order as shipped in Etsy when the Sales Order (SO) delivery status is changed to Delivered in Katana.

You can also build the reverse workflow (Etsy → Katana) if needed.

Note: Using the pre-made Make template, setup takes only a couple of minutes. Most configurations are prefilled—you just connect your accounts.

Before you start

  • This workflow builds on the Etsy → Katana Sales Order import.

  • Make sure that Order Numbers in Katana match Etsy Receipt IDs.


Set up the automation

This guide will walk you through each step of the pre-made template to better understand the connection and customize it to your needs.

Step 1: Open the template

  1. Open the Make template for Katana → Etsy fulfillment sync.

  2. Create a new scenario.

Step 2: Add a Katana webhook (trigger)

  1. Open the first step (webhook).

  2. Add a new webhook:

    • Click Create a webhook → Connect your Katana account.

    • Click Save and then Save again.

  3. A webhook will be added to your Katana account and mapped to Make.

    • This triggers the workflow when an SO status changes to Delivered.


Step 3: Retrieve SO details from Katana

  1. Click the Get a Sales Order module.

  2. Mapped fields:

    • Sales Order IDObject: Object ID from the webhook trigger.


Step 4: Update the receipt in Etsy

  1. Check the Update Receipt module for Etsy.

  2. Select your Etsy account and shop.

  3. Map fields:

    • Receipt IDOrder Number from Katana.

    • Was Shipped → Yes.


Step 5: Test the workflow

  1. Run the scenario once.

  2. In Katana, mark an Etsy-linked order as Delivered.

  3. Verify that the corresponding order is updated as Shipped in Etsy.


Step 6: Schedule real-time sync

  1. Schedule the scenario to run immediately.

  2. Order status changes in Katana will now be synced to Etsy in real time.


Important notes

  • This workflow only works if Katana Order Numbers match Etsy Receipt IDs.

  • Orders must already exist in Katana via the Etsy SO import workflow.

  • Sync runs in real-time thanks to Katana’s webhook.
