Automate and streamline post-sales processes

Integrating with Outvio allows you to automate sales order fulfillments, optimize customer support, strengthen brand presence, and facilitate post-sales marketing.

With Outvio, you can:

  • Import orders and ship from Katana to Outvio and also print labels in bulk

  • Update Katana's Sales order (SO) status based on the order status in Outvio

  • Sync carrier tracking numbers from Outvio to Katana

Data sharing between Katana and Outvio

When you connect Katana to Outvio, any SO (with an existing Ship to address) in a Not shipped or Packed delivery status will be imported to Outvio from Katana within ten minutes.

When importing from Katana to Outvio, the following information will be added to Outvio:

  • Delivery data from the customer's shipping address on the SO

  • Invoice data from the SO

  • Shipment contents from the sales order line items

NOTE: Once orders are imported to Outvio, further changes made to a SO will not sync between platforms.

Once a SO is shipped via Outvio, the following data is sent back to Katana:

  • SO status is updated to Packed once a shipping label is generated

  • A tracking number is added to the SO after you generate a shipping label (if one is provided by the courier)

Connecting Outvio to Katana

  1. Establish a connection to Katana from inside Outvio by going to Settings > Third-party integrations > Katana > SET UP > Save.

  2. You will then be redirected to the Katana login page to authorize the connection.

  3. That's it πŸš€ The integration is now Active and you are ready to ship sales orders in Outvio.

Shipping a SO via Outvio

  1. First, go to Outvio to set up your warehouse location. You need to activate a warehouse as a pick-up location before you start sending out shipments from it.


    ​Activating a warehouse can take up to 24 hours. Outvio supports shipping from Europe and Nordic countries.

  2. If there aren't any Sales Orders imported to Outvio from Katana yet, make your way to the Katana Sell screen and select a SO with a Ship to address (required for the SO to be imported to Outvio).

  3. Navigate back to the Outvio Orders list and find imported SO.

  4. Edit the shipment data before packing. Product unit weight and Harmonized System (HS) code are required fields.

    Tip: The flag icon turns green once an order is ready for packing.

  5. Choose Start packing to select your preferred carrier and shipment options.

  6. You will be redirected to a Shipping Queue page where you can adjust the package dimensions, apply insurance, and choose the appropriate carrier to confirm the order.

    NOTE: Link your company billing details to Outvio before printing labels.

  7. Once all your products are in parcels, confirm shipping by clicking Print label and ship. Outvio connects with the selected courier, and the shipping label(s) will appear for printing. Attach labels to the packages, and that's it!

  • This last step is synced to Katana and marks the SO as Packed

  • The tracking number is synced to an order once the shipping carrier generates the number for your shipment

  • Mark your SO as Delivered in Katana once it has reached your customer

NOTE 2: At the moment, this integration does not support Katana's Shipping fee
