This guide helps you complete your assigned tasks in Katana’s Shop Floor app efficiently, accurately, and on time.
Getting started
1. Log in
Scan your assigned QR code with your device.
Enter your 6-digit login code.
Use one device per session. If you're switching devices, log out first.
2. View your assigned tasks
Tasks come from open manufacturing orders (MOs)
Tasks are sorted by priority or by sequence, depending on how your manager set it up
Each task shows the product to make, quantity.
Use filters:
By resource - to only show tasks at your station
By availability - to hide tasks that don’t have materials ready
or search by keyword.
3. Open a task to see details
When you open a task, you’ll see three tabs: Ingredients, Operations and Notes.
Ingredients:
Check the stock status, colors, and quantities:
Green = Ready to use
Yellow = Awaiting delivery
Red = Not available
You can search for ingredients by tapping Type to search, or clicking the camera icon to scan the ingredient barcode.
Operations:
From this tab, you can view all tasks for the product
Your current step is highlighted (“This task”)
Notes:
Apart from the notes left for ingredients, you can view any notes added on the MO by your manager or a previous operator.
In case needed, you can add a note for your manager, or the next operator (e.g. if you run into equipment issues, notice quality concerns, etc.
4. Start the task and track time
When you're ready to begin your assigned task, tap Start. Katana will automatically track how long it takes. No need for manual time entry.
You can pause, resume, quit, or finish the task as needed:
Start: begin the task and start the timer
Pause: if you’re interrupted, need to switch tasks temporarily, or step away
Resume: continue working after a pause
Quit this task: cancel if started by mistake, or need to hand over the task to someone else (time already tracked stays recorded; task status resets to “Not started”)
Finish: mark the task as completed
Your actual time will be logged and compared to the planned time in Katana to help improve future estimates and costing.
If you didn’t complete the full order, just report what was done in the next steps. Katana will mark the MO as partially completed, and the rest can be finished later.
5. Scan or add ingredients
If something’s missing or needs to be added, you can scan or search for ingredients manually.
Search for listed ingredients
Click on the Type to search field or tap the camera icon to scan the ingredient barcode
Matching item will be highlighted:
Add missing ingredients
Tap + Add ingredient
Either type to search for the missing ingredient or scan the barcode in the pop-up
Enter the quantities for the ingredients, and tap Add
Ingredient is synced to Katana’s MO view in real-time:
You can print and use Katana-generated barcode labels if your items don’t have barcodes yet.
6. Report actual usage
When you’ve completed the task, tap Finish, and enter:
Actual quantities used
Batch numbers (if required)
Any comments (e.g., “5 units broke”)
You can:
Scan ingredients as you report them
Add notes for each line item
This keeps costs, waste, and inventory accurate.
7. Confirm quantity made
If prompted, enter how many products you completed.
8. Start the next task
Once finished:
The task disappears from your list
If tasks are sequenced, the next step unlocks
If parallel, you’ll see all tasks ready for you
Use filters to stay focused on:
Available materials
Your assigned workstation or resource
Operator best practices
✔️ Use only your own operator login or QR code
✔️ Never start a task with unavailable materials
✔️ Scan ingredients if and when possible, it's faster and more accurate
✔️ Add notes to help your teammates and manager
✔️ Pause if you step away, otherwise tthe imer still runs!
What can’t be done in the app?
For now, these actions must be done in Katana by your manager:
Reassigning tasks
Changing task priority
Edit or delete tasks
