How to export purchase orders (PO)

Export POs from Katana to CSV or XLSX for detailed analysis or external processing.

Export your purchase orders from Katana to CSV or Excel (.XLSX) files for easy analysis, reporting, or external processing.


Where to export from

You can export purchase orders from the Buy screen in Katana β€” this includes both:

  • Open POs (orders not yet received)

  • Done POs (completed orders)


What gets exported?

Each line item from a PO is exported as a separate row.


If a single purchase order contains multiple items or additional costs, each will appear as its own row in the export file.

This structure allows for detailed analysis at the product or cost level.


Exporting POs step-by-step

Export option on the buy screen

1. Navigate to the Buy screen

Click on the Buy tab in the top navigation bar.

2. Choose which POs to export

Select either:

  • Open tab β†’ to export active POs

  • Done tab β†’ to export completed POs

3. Export your data

There are two export options:

Export all POs in the list:

Click the Export icon in the top-right corner of the table.

Export selected POs only:

  • Tick the checkboxes next to the POs you want to export.

  • Click the Export icon to download only those.

File format options: Choose between CSV or XLSX.


Tips & notes

  • The export includes all order lines, including additional cost rows.

  • Great for reporting, supplier reconciliation, or uploading to accounting tools.

  • Ensure your file opens in Excel, Google Sheets, or your preferred spreadsheet tool.
