How to create a service / service card

Create service items in Katana to manage non-inventory sales like installations or warranties

In Katana, a service represents a non-physical item sold to customers, such as installation, customization, or maintenance, that doesn't require inventory tracking. Services are always available and do not participate in warehouse workflows like picking, packing, or shipping.


When to use a service

Use a service item in Katana when you need to sell non-inventory items, including:

  • Installation: Fees for setting up or configuring products.

  • Repairs or Maintenance: Charges for product upkeep.

  • Design or Customization: Fees for design work or product modifications.

  • Warranties or Service Plans: Extended warranties or protection plans.

  • Delivery Fees: Costs for shipping or special delivery services.

  • Gift Wrapping and Packaging: Charges for special packaging or wrapping.

  • Made-to-Order Services: Custom-tailored products requiring special manufacturing.

  • Subscription and Refill Plans: Recurring charges for product replenishments.

  • Gift Cards: Selling prepaid gift cards without stock tracking.


Creating a service

There are three ways to create a service in Katana:

  1. Global create button:

    • Click on the global + Create button.

    • Select + Service to open a new service card.

  2. From the Items screen:

    • Navigate to the Items screen.

    • Select the Services tab.

    • Click on + Service.

  3. From a sales order (SO):

    • While adding items to an SO, type the name of the new service.

    • Select Create new "service name" from the dropdown.

    • A window will open to enter basic details: Name, Category, Service Code, Default Cost, and Default Sales Price.

    • Click Done to create the service, which will be automatically added to the SO.

Each service has a dedicated card where you can manage its details:

  • Service name: The unique name of the service.

  • Category: Group services into categories (e.g., Installation, Maintenance) for better organization.

  • Unit of measure: The unit you're using to measure the quantity of your service. You can manage the list of units (add, edit, and delete) in Settings.

  • Custom field collection: Choose a custom field collection to add custom fields to the product card's table. Custom fields are unavailable on the Starter plan.

  • Usability: Let's activate/deactivate selling this service.

Note: Services do not affect inventory levels and are always considered available.

  • Service code: An optional identifier for the service.

  • Default cost: The internal cost associated with providing the service.

  • Default sales price: The price at which the service is sold to customers.
