How to set item defaults for your account

If there are certain settings that you want all newly created items to have you, you can set them up from Settings.

Define the starting configuration for every new product and material created in Katana. Instead of manually adjusting usability, tracking, and unit of measure for each newly created item, you can set your preferred defaults, and every new item will use those settings automatically.

Note: Default settings only apply to newly created items (unless different values are provided via imports or integrations) and don't affect existing items.


Accessing item defaults

To access item defaults:

  1. Go to Settings > Account defaults.

  2. The page is broken into two sections, Products and Materials, each with its own default configuration.

You can configure three types of defaults for products:

Usability settings

You can check or uncheck each option.

  • Sell: Enables adding to sales orders (SOs) and quotes.

  • Make: Enables adding to manufacturing orders (MOs) and enables product recipes and production operations.

    • Requires enablement of the Manufacturing Management add-on.

  • Outsourced: Can create a product recipe/BOM to track ingredients on outsourced purchase orders (OPOs).

    • Displays if the Manufacturing Management add-on is disabled.

  • Buy: Enables adding to purchase orders (POs).

  • Kit/bundle: Enables bundling.

    • Cannot be enabled if Batch/lot numbers are selected for Tracking.

Tracking settings

  • No tracking: Items are not tracked by batch or serial number.

  • Batch/lot numbers: Assign batch or lot numbers to track products and materials.

  • Serial numbers: Assign unique serial numbers to each product.

Note: If the Traceability add-on is disabled, tracking options cannot be configured.

Unit of measure

Choose the default unit of measure for new products. Select from your existing list or create new ones directly from this setting.

You can configure three types of defaults for materials:

Usability settings

  • Sell: Enables adding to SOs.

  • Buy: Checked by default and cannot be unchecked. Materials always need to be purchasable.

Tracking settings

Choose the default tracking method for new materials:

  • No tracking: Materials are not tracked by batch.

  • Batch/lot numbers: Assign batch or lot numbers to materials for traceability.

Note: If the Traceability add-on is disabled, tracking options cannot be configured.

Unit of measure

Choose the default unit of measure for new materials. Select from your existing list or create new ones directly from this setting.

Important notes

  • Changes apply to new items only. Updating defaults doesn't retroactively change any existing products or materials. Only items created after the change will use the new defaults.

  • Overriding defaults. You can adjust settings on individual product or material cards after they are created.

  • Import overrides. Items created through integrations, spreadsheet imports, or the API use the settings defined in the import source, not your item defaults.

  • Add-on dependencies. The availability of some options depends on your active add-ons:

    • Manufacturing Management add-on disabled → Make is renamed to Outsourced.

    • Traceability add-on disabled → Tracking options are not available.
