How to edit barcodes

Modify barcodes in Katana for items and batches, ensuring data integrity and traceability.

Barcodes can be edited in Katana if you need to update or correct item and batch barcode numbers. This helps maintain accurate tracking and traceability across your inventory.

Important: Edit barcodes with caution. If you’ve already printed physical labels, changing the barcode in Katana means those items will no longer scan correctly. You’ll need to print and apply new labels to avoid scanning errors.


Where you can edit barcodes

You can update barcodes in three main places:

On the item card

  • Open the product or material’s Item card.

  • Click the barcode field and type or scan the new barcode number.

  • Save your changes.

Note: Internal barcodes must be unique across your Katana account. Duplicate numbers are not allowed.


From the Stock screen → Batches tab

If you’re using batch tracking:

  • Go to Stock > Batches tab.

  • Find the batch you want to update.

  • Edit the batch number or batch barcode directly in the list.

This is useful when correcting or standardizing batch barcodes.


While receiving batch-trackable items

If batch tracking is enabled:

Tip: This is especially useful if you want to align Katana’s batch barcode with the supplier’s batch or lot number. Doing so ensures backward traceability to the supplier’s documentation.


Best practices for editing

  • Avoid frequent edits → Only change barcodes if absolutely necessary.

  • Export barcodes first → Keep a backup before bulk changes.

  • Communicate with teams → Make sure warehouse and shop floor staff know when labels have been updated.

  • Reprint labels promptly → Prevent scanning errors by replacing old labels immediately.
