How to print barcodes

Katana can generate the barcode labels as printable PDF pages or you can export the barcode numbers

Katana lets you print barcode labels directly or export barcode numbers for use with third-party label software. Barcode printing is available for items, batches, and order lines across several workflows.

Note: For the best results, customize your barcode label templates for your preferred size and layout. Learn how to customize templates.


Ways to print barcode labels in Katana

Print from a single order or item

  • Go to a purchase order, manufacturing order, sales order, item card, stock adjustment, or stock transfer.

  • Click the Print icon on the card.

  • Select your preferred barcode label template.

  • Print or save as a PDF.

Bulk print barcodes

  • Go to the relevant list view (e.g., Stock screen).

  • Select multiple items or orders.

  • Click the Print icon and choose the barcode template.

  • This will generate barcode labels for all selected items.

Print while receiving items

  • When receiving items on a purchase order, check the box: Print barcodes

  • After clicking Receive, a PDF with barcode labels is automatically generated.


Number of labels printed

Each barcode label is generated as a separate PDF page.

  • Purchase orders: Based on the quantity to receive.

  • Manufacturing orders: Based on MO planned quantity.

  • Sales orders: Based on line item quantity.

  • Items / Batches: One label per unique item or batch.


Exporting barcode numbers (CSV/XLSX)

You can export barcode data for external use from these areas:

  • Inventory tab (Stock screen) — Filter and export item barcodes.

  • Batches tab — Export batch barcodes with expiry data.

  • PO card — Export all items on the PO, including batches.

  • PO Receiving dialog — Export barcodes for received items.

  • MO card — Export product barcodes and expiry details.

Third-party tools for label printing

You can use your exported barcode numbers with external label software like:

Each exported file includes:

  • Item name

  • SKU

  • Supplier item code

  • Internal barcode

  • Batch barcode

  • Registered barcode

These can be dragged and dropped onto templates in your label software.

Inventory item label:

  • Includes item name, SKU, and barcode.

Batch tracking label:

Mixed data label:

  • Item name, internal barcode, and batch number (as text).

Once templates are saved in your label feature, you can simply import new CSV files and print on demand.
