Sending SO picking tasks to the Warehouse app

Send sales order tasks to the Warehouse app for efficient order fulfillment and inventory tracking.

Easily send picking tasks to your warehouse team using Katana’s Warehouse App, ensuring smooth and accurate order fulfillment from mobile devices.

The Warehouse app is part of the Warehouse Management add-on, which covers all of your business’s main warehouse management needs

Note: Service items (non-physical) are not included in pick-and-pack tasks in the Warehouse App.


How it works

Once the Warehouse App is enabled, changing a sales order (SO) row’s status to Pack all or Pack some automatically updates its fulfillment status to Ready for packing.

You can update the SO row status in two ways:

  • Directly from the SO card

  • From the Sales Orders list (individually or in bulk)

When an SO row is marked Ready for packing, Katana sends a picking task to the Warehouse App. Warehouse operators will see the assigned SO with detailed task instructions.

Managing partial fulfillments

If you use Pack some to create multiple fulfillments for a single SO, each will appear as a separate picking task in the Warehouse App. The SO number will include a suffix (e.g., #SO-001 (1/2)) to indicate partial deliveries.


Handling batch-trackable items

When fulfilling batch-tracked products, you have two options:

Option 1: Pre-assign batches yourself

  • Use the Batch assigning dialog in Katana to select the correct batch.

  • This batch is locked in for the operator to pick.

Option 2: Let warehouse operators choose

  • Leave the batch field empty during setup.

  • Operators will choose from available batches during picking.

Batches are shown in FIFO (First In, First Out) order in the app.

Expiry date restriction: Operators cannot select batches past their expiry date. Only a manager can pre-assign such a batch.


What happens after picking?

When a warehouse operator Finishes a task:

  • The corresponding SO row status changes to Packed.

  • You can see which operator packed the order on the SO card.

  • If needed, you can edit the packing operator by selecting another name from the dropdown.

Fixing issues or finalizing delivery

If something went wrong during picking:

  • You can Revert SO rows back to Not delivered from the Katana interface to make changes.

  • Once everything looks good, you can Mark the SO as Delivered.

Either action removes the related task from the Warehouse App.
