Archiving items in Katana helps maintain a clean and organized inventory by hiding products, materials, or services that are no longer in active use.
This process prevents archived items from being added to new orders without permanently deleting them, allowing you to retain historical data for reporting and auditing purposes.
What happens if you archive an item?
Hidden from new orders: Archived items and their variants are removed from selection in new sales, purchase, and manufacturing orders.
Retained in existing records: Archiving does not remove items from existing orders or alter their stock quantities.
Visual indicators:
The item name is prefixed with
[ARCHIVED]
.Items appear crossed out in recipes and completed orders.
Inventory visibility: Variants of archived items are hidden from the Inventory, Batches, Plan, and Replenishment lists.
E-commerce imports: When importing from ecommerce integrations, Katana imports all items regardless of their archived status.
Edit capability: Archived items can still be edited as needed.
How to archive an item
Archiving individually
Navigate to the Items screen.
Open the product, material, or service card you wish to archive.
Click on the three-dot menu in the top-right corner.
Select Archive from the dropdown menu.
Archiving in bulk
Go to the Items screen.
Select the checkboxes next to the items you want to archive.
Click the Archive button located at the top right of the screen.
How to unarchive an item
Unarchiving individually
Navigate to the Items screen.
Open the archived item's card.
Click on the three-dot menu in the top-right corner.
Select Unarchive from the dropdown menu.
Unarchiving in bulk
Go to the Items screen and click on the Archive tab.
Select the checkboxes next to the items you want to unarchive.
Click the Unarchive button located at the top right of the screen.
Accessing historical stock data for archived items
To view historical stock data for an archived item:
Navigate to the Stock screen.
Adjust the date filter to a period before the item was archived.
This allows you to analyze past inventory levels and movements of archived items.
Permissions required
Only users with the Delete and archive items permission can archive or unarchive items. Ensure your user role has the necessary permissions to perform these actions.
