Managing materials: edit, duplicate, and delete

Easily manage any changes you need to make to materials

Efficient material management is crucial for maintaining accurate inventory and streamlined operations. This guide covers how to edit, duplicate, and delete materials in Katana, ensuring your material data remains current and organized.


Editing materials

The Material card can be used to edit a single material, but there is no "Edit" button. Simply make changes, and they'll save automatically.

Editing a single material

  1. Navigate to the Items screen:

    • Go to the Items screen and select the Materials table.

    • Click on the material you wish to edit to open its material card.

  2. Make changes:

  3. Automatic saving:

    • Changes are saved automatically. A confirmation message "All changes saved" will appear at the top right corner of the material card.

Note: Updating the default purchase price on a material card will change the price for new purchase orders (POs). Existing POs remain unaffected.

If using multi-currency (available on Standard and higher plans), when your supplier currency is different than your base currency, the default purchase price will be in the supplier's currency. Read more

Editing materials in bulk

  1. Select materials:

    • In the Materials table, check the boxes next to the materials you want to edit.

  2. Bulk edit options:

    • Click on the bulk edit button to modify:

      • Category: Assign an existing category.

      • Sales price: You can bulk change the sales price of items by adding a new price, changing them by a percentage, or a flat amount.

      • Custom field collection: Apply a predefined set of custom fields.

Note: For bulk editing of other fields like Variant Codes/SKUs, use the import/export feature.


Duplicating materials

Duplicating a material is helpful in creating similar items without re-entering all details.

  1. Open material card:

    • Navigate to the Items screen, select the Materials table, and click on the material to open its card.

  2. Duplicate material:

    • Click on the three-dot menu in the top-right corner of the material card.

    • Select Duplicate from the dropdown menu.

  3. Review new material:

    • A new material card will open with all details copied from the original, including Category, Unit of Measure, Variant Codes/SKUs, Purchase Prices, and Variants.

    • The new material's name will have "COPY" appended to it.


Deleting materials

Deleting materials helps maintain a clean and up-to-date inventory.

Deleting a single material

  1. Open Material Card:

    • Go to the Items screen, select the Materials table, and click on the material to open its card.

  2. Delete Material:

    Highlights the delete option inside the material card

    • Click on the three-dot menu in the top-right corner of the material card.

    • Select Delete from the dropdown menu.

Deleting materials in bulk

  1. Select materials:

    • In the Materials table, check the boxes next to the materials you wish to delete.

  2. Initiate deletion:

    • Click on the trash can icon.

    • A popup will appear asking if you want to permanently delete the selected item variants.

Important notes:

  • Materials cannot be deleted if they have variants with stock quantities or are included in open orders.

  • Katana will notify if a material is currently used in open orders or product recipes.

  • Deleted items appear with a strikethrough in orders.

  • Stock movement history is removed upon deletion.


Additional tips

  • User permissions: Ensure you have the necessary permissions to edit, duplicate, or delete materials. Refer to the user permissions guide for more details.

  • Archiving vs. Deleting: If you want to retain a material's history without it appearing in active lists, consider archiving it instead of deleting.
