Archiving a product or material

Clear up unused items by archiving them so they don't get added to orders.

If you have a large number of items in Katana but there are some that you're not actively using, archiving them is a great way to prevent them from being added to new orders without deleting them.

Although archiving prevents the item and its variants from being added to orders, it won't remove the item from any orders that already contain it or change the item's stock quantity.

Once archived, [ARCHIVED] will be added to the item's name and they will appear as crossed out on recipes and Done orders.

Note: If the item is part of an active BOM, you will need to remove it manually to prevent item quantities from being affected.

Archiving a product or material

To archive an item, open an item or material card and click on the 3-dot menu. From this menu, choose Archive. Once archived, you'll be able to find the item from the Items screen > Archive tab.

Unarchiving

Once an item has been archived, to unarchive it, open the item's card again, click the 3-dot menu, and choose Unarchive.

Bulk archiving/unarchiving

To archive in bulk, head to the Items screen and select the items you want to archive. Then click on the archive button in the top right.

To unarchive in bulk, click on the Items screen > Archive tab, select the items you want to unarchive and click the unarchive button in the top right.

Finding historical stock data of an archived item

If you need to find historical data for an archived item (or items), you can do so by heading to the Stock screen and changing the date back to a period before the item(s) were archived.

Choose a past date on the stock screen to find historical data on archived items.

More about archiving

Archiving a product or material hides all the variants of that item from new orders, the only exception is if you're importing from an ecommerce integration. Katana imports all rows regardless if they're active or archived in Katana.

In addition, variants of archived items will be hidden variants from the Inventory, Batches, Plan, and Replenishment lists. The history of an archived item's movements will remain accessible from the item card by opening the Inventory intel.

Archived items can still be edited.

Note: Only users with the Delete and archive items permission can archive/unarchive items.
