Understanding shipping fees

Learn how to apply, edit, and manage shipping fees on Katana sales orders.

Accurately managing shipping fees is essential for precise billing and customer satisfaction. Katana allows you to add, edit, and manage shipping fees directly within sales orders (SOs), ensuring transparency and control over shipping expenses.


Adding a shipping fee to a sales order

  1. Access the SO:

    • Navigate to the Sell screen.

    • Click on the Sales orders tab.

    • Select an existing SO or create a new one.

  2. Add shipping fee details:

    • In the Shipping fee section, enter the following:

      • Description: Specify the type of shipping or any relevant details.

      • Cost: Input the shipping cost (excluding tax).

      • Tax: Select the applicable tax rate for the shipping fee.

Note: The Cost field is mandatory. If the shipping is free, enter 0.


Editing a shipping fee

  • To modify an existing shipping fee:

    • Click on the respective field (Description, Cost, or Tax) within the Shipping fee section.

    • Make the necessary changes.

    • Changes are saved automatically.

Important: Shipping fees can only be edited while the SO is in Open status. If the SO has been marked as Delivered, you'll need to revert it to Open status to make changes.


Deleting a shipping fee

  • To remove a shipping fee from an SO:

    • Click on the bin icon next to the shipping fee entry.

    • The shipping fee will be deleted immediately.


Totals and subtotals

  • At the bottom right of the SO screen:

    • Subtotal (Tax excluded): Displays the total cost of line items, excluding tax.

    • Shipping fee (Tax excluded): Shows the shipping cost without tax.

    • Tax: Combines both product and shipping tax.


Partial deliveries

  • Katana supports only one shipping fee per SO.

  • Multiple shipping fees for partial deliveries or multiple fulfillments are not supported.


Exporting shipping fees

  • When exporting SOs (e.g., to .csv or .xlsx formats), the shipping fee is included as a line item.

  • This ensures comprehensive financial records and facilitates integration with accounting systems.
